How to Create a 'Take Me to My Ticket' Button in Email Notifications

Posted on 11 Mar 2021 · 1 min read

Email notifications are one of the easiest ways to keep users informed about changes to their tickets or cases in ServiceNow. A frequent request from customers is a link or button in the notification that takes them directly to the newly updated or created record.

Here is how to add it.

The Approach

Email notification templates in ServiceNow support HTML and Velocity script. You can use these to generate a dynamic URL that opens the specific record.

Building the Link

In your notification's HTML Message body, add a link like this:

<a href="https://${instance_name}.service-now.com/${table_name}.do?sys_id=${sys_id}"
   style="background-color:#1B6EC2; color:white; padding:10px 20px;
          text-decoration:none; border-radius:4px; font-family:Arial,sans-serif;">
  View My Ticket
</a>

Using Velocity script within the notification template, you can access record fields directly:

<a href="https://yourinstance.service-now.com/incident.do?sys_id=${current.sys_id}">
  View Incident ${current.number}
</a>

Tips

  • Use HTTPS — always use the full HTTPS URL so the link works from any email client.
  • Test across email clients — Outlook, Gmail, and mobile clients all render HTML slightly differently. Keep the button styling simple.
  • Consider the portal — if your users primarily access tickets through the Service Portal, link to the portal URL instead of the backend form: https://yourinstance.service-now.com/sp?id=ticket&table=incident&sys_id=${current.sys_id}

This small addition to your notifications significantly reduces the friction of finding and opening a ticket, and consistently ranks as one of the most appreciated UX improvements you can make.
